How to merge PDFs for tax returns and bank statements

12 min read

Tax prep rarely arrives as one neat file. You download January through December bank statements as separate PDFs. Each brokerage sends its own 1099. A former employer emails a W-2. Your CPA or tax software portal wants one upload, not twelve attachments. Merge those PDFs in a fixed order: income forms first, then bank and brokerage statements, then receipts or notes at the end. Toolsy Merge PDF accepts up to 20 files at 25 MB each, lets you sort them before combine, and returns a single download. Free accounts get 5 PDF operations per day. If the merged file exceeds an upload cap, run Compress PDF on the result. For SSN-heavy uploads, read Is it safe to upload documents to online converters? first.

Why tax season leaves you with a pile of PDFs

Banks and brokerages design statements for monthly review, not for your accountant. Each month exports as its own PDF. A side gig might issue a 1099-NEC in February while your W-2 lands in January. Mortgage interest forms show up on their own schedule. By March you have a folder of related files that belong together logically but not on disk.

Portals reinforce the split. You log into Chase for checking, Schwab for investments, and a payroll site for the W-2. Each login offers a download button. None of them asks whether you already pulled the other eleven months from the same bank. The friction is not finding the data. The friction is presenting it as one readable packet.

Accountants and DIY tax software share the same preference: one PDF per topic or one master PDF with a predictable order. Email threads with scattered attachments get lost. Upload fields often accept a single file. Even when a portal allows multiple uploads, reviewers scroll faster through one continuous document than through six separate downloads.

Bank PDF downloads from different months

Most US banks export statements as PDF from online banking. You pick a date range, click download, and save statement_jan.pdf, statement_feb.pdf, and so on. Credit unions and smaller banks follow the same pattern. Some label files with account numbers; others use generic names like eStatement.pdf, which forces you to rename before merge.

Checking and savings usually come as separate accounts. You may need twelve months for each. Business accounts add another stack if you mix personal and Schedule C paperwork. Download every month you need before you open the merge tool. Missing April is easier to fix before you send the packet than after your preparer flags a gap.

1099 and W-2 forms from each payer

W-2s arrive as PDF from payroll portals or as paper you scan. 1099-INT, 1099-DIV, and 1099-B often come from brokerage tax centers. Gig platforms issue 1099-NEC or 1099-K. Each form is already a PDF, but each payer is a separate file. Put income documents at the front of the merged packet so a reviewer sees wages and interest before wading through bank pages.

Corrected forms happen. If a broker sends a revised 1099, replace the old PDF in your folder before merge. Including both versions creates confusion and duplicate line items. Name files with payer and form type, for example schwab_1099div_2025.pdf, so the merge order matches your checklist.

What to put in one tax packet

A useful packet answers the questions your preparer will ask without a follow-up email. Start with a simple checklist tied to your return type. W-2 employees need wage forms and any 1099s for side income, bank interest, or investments. Homeowners add 1098 mortgage interest. Self-employed filers add business bank statements and expense support.

Group by category, not by download date. Income forms first: W-2, 1099-NEC, 1099-INT, 1099-DIV, 1099-B, 1099-R, and K-1 if applicable. Deduction support next: 1098, charitable receipts, medical summaries if your preparer asked for them. Bank and brokerage statements after that, usually checking then savings then investment accounts. Append scanned receipts or notes only if your CPA requested them in PDF form.

Match the tax year on every page. A December 2025 statement that includes January 2026 activity belongs in the next year’s folder. When a statement spans two months on one PDF, note the coverage in the filename. Your preparer should not guess which transactions fall inside the return year.

Keep sensitive forms readable. IRS copies of W-2 and 1099 use small type. A blurry phone scan forces manual entry and risks typos. If you only have paper, scan at 300 dpi or use a flatbed. For phone captures, see Phone camera tips for better OCR when text must be sharp, even though merge PDF does not run OCR itself.

Prepare each PDF before you merge

Merge combines bytes. It does not fix upside-down pages, password locks, or a January file saved after December in the sort list. Ten minutes of prep saves a rejected upload or a phone call from your accountant.

Work on copies. Keep originals in a tax-2025-source folder. Build the merge list in tax-2025-packet. If order is wrong, you re-merge from clean sources instead of editing the only copy.

Unlock password-protected PDFs if your bank wraps downloads. Some tools refuse locked files. Export again from the bank site without a user password, or print to PDF locally if the bank allows it. Test-open each file in a viewer before upload.

Download bank statements in PDF form

Log into each account and export PDF statements for every month in the tax year. Avoid CSV for the merge step; your CPA may want CSV separately for analysis, but the visual packet should stay PDF. If the bank offers “annual summary” plus monthly detail, ask your preparer which they prefer. Many want monthly pages for audit trails.

Watch file size. Scan-heavy statements can approach the 25 MB per-file cap on Toolsy free PDF tools. If one month is huge, split is rare; compress that month first or ask the bank for a text-based PDF export. Compress PDF can shrink scan bloat when the statement is image-only.

Scan paper forms at readable quality

Lay the form flat. Shoot in good light without shadow across the SSN box. Export to PDF, not a loose JPG, when your scan app allows it. If you only get images, run each through JPG to PDF once, then merge those PDFs with the rest.

Rotate before merge when pages arrive sideways. Edit PDF pages fixes order, rotation, and blank pages inside a single file. Delete empty trailing pages from a bad scan so your merged packet does not insert white sheets between banks.

Rename files so the merge order is obvious

Use a sort-friendly pattern: 01_w2_employer.pdf, 02_1099int_bank.pdf, 10_checking_2025-01.pdf through 10_checking_2025-12.pdf. Leading numbers beat alphabetical sort where statement (1).pdf fights statement (10).pdf.

Match names to the order you will set in the tool. The merge UI lets you drag files, but a presorted folder reduces mistakes when you upload twenty at once. Double-check account numbers in filenames when you hold multiple checking accounts.

Walkthrough: merge with Toolsy

Open Merge PDF in your browser. Click upload and select every PDF for this packet, or add in batches up to 20 files. Each file can be up to 25 MB. If you have more than twenty PDFs, merge in two passes: combine January through June, July through December, then merge those two outputs in a second job. That costs two of your five free daily PDF operations.

Arrange files in the list to match your checklist. Income forms at the top, bank months in chronological order, brokerage last. Drag rows until the sequence matches how you want pages to scroll. Merge does not reorder pages inside a file; it appends whole files in the sequence you set.

Click merge and wait for processing. Download the combined PDF to a clear name like smith_2025_tax_packet.pdf. Open it immediately. Scroll the first and last pages of each former file to confirm nothing dropped. Free accounts share a daily quota across PDF tools; Pro removes the cap if you batch prep for many clients.

Processing uses your files only for the merge job. Toolsy does not keep them after you download the result. For timing and retention wording, read What happens to files after processing. Tax IDs and account numbers still deserve a trusted network and a site you have vetted.

Check the merged packet before you send

A single wrong page order can misattribute interest income to the wrong account. A missing month triggers a second request cycle. Spend five minutes reviewing the download before upload to TurboTax, your CPA portal, or encrypted email.

Open the PDF in any viewer and use continuous scroll, not single-page mode. Watch for duplicate months, blank inserts, and rotated sheets. Search for your name or account number if the viewer supports find-in-PDF. Spot-check amounts on 1099s against the source files you merged.

Confirm the file opens on a second device if the recipient uses mobile review. iOS and Android preview apps sometimes choke on very large merges. If preview stutters, compress or split for delivery while keeping the full archive locally.

Scroll every page in order

Start at page one and move forward without skipping. Note where each original file began. A sticky note on paper is fine; in PDF you are verifying that January checking precedes February and that no brokerage statement landed in the middle of W-2 pages.

Pay attention to duplicates. Merging twice because a file sat in the folder twice is a common error. Delete the duplicate source and re-run merge if you catch it early.

Confirm account numbers and tax year

Bank PDFs usually print the account number on each page header. Verify you merged checking, not a spouse’s separate login. Investment 1099-B pages are long; ensure the full form is present, not just the cover summary.

Tax year labels on forms should read 2025 for a 2025 return filed in 2026. Mixed-year statements need a sticky note in your email to the preparer explaining which pages apply.

When merge alone is not enough

One merged PDF can still exceed a portal upload limit. Email attachments often stop around 20 to 25 MB. A year of scan-heavy statements plus 1099s can cross that line even when each source file was under 25 MB.

Run Compress PDF on the merged packet. Text-native bank exports shrink modestly; scan-heavy PDFs shrink more. For Gmail and Outlook caps after merge, see Compress PDF for email attachments. Check readability after compress, especially small figures on 1099-B pages. If still too large, split by category: merge income forms into smith_2025_income.pdf and bank statements into smith_2025_banks.pdf.

Use Split PDF when you need to extract one bad page from a long download before merge. For chapter-style extractions from long PDFs, see Split a PDF by pages for school or work submissions. Use Edit PDF pages when one statement PDF contains a blank first page or a trailing advertisement sheet from the bank portal. For delete, rotate, and split-then-merge reordering, see Reorder PDF pages before sending.

Receipts are a different workflow. To stack phone scans into one expense PDF, see Merge scanned receipts into one PDF. If your bookkeeper wants Excel, not PDF pages, see Receipt photo to Excel for bookkeeping. That path extracts line items. Merge PDF is for keeping visual copies intact.

Privacy and limits for tax documents online

Tax PDFs carry Social Security numbers, employer EINs, and full bank account numbers. Upload only on networks you trust. Avoid public café Wi-Fi for unencrypted sessions. Prefer a portal that states retention clearly.

Toolsy processes uploads for the job you run and does not keep files after the response. Free PDF tools allow 5 operations per day with a 25 MB cap per file and up to 20 files per merge. Pro removes the daily operation cap. PDF merge is separate from OCR Pro credits; do not confuse the products.

For a broader upload checklist, read Is it safe to upload documents to online converters?. For merge-specific checks before you upload SSN-bearing forms, see Merge PDF online security checklist. When policy forbids any cloud processing, merge locally with desktop software on a managed machine. Online merge fits many filers who need a fast packet for a preparer they already trust.

Highly sensitive archives may warrant encryption after merge. Merge first, then password-protect the output in a desktop PDF tool if your CPA supports encrypted delivery. Toolsy merge does not add passwords; plan that step separately.

Frequently asked questions

How do I combine bank statements into one PDF for my accountant?

Download each month as PDF from online banking, rename files in chronological order, then upload all of them to a merge tool. Put income tax forms before bank statements if your preparer asked for that layout. Use Merge PDF, drag the list into order, and download one file. Scroll the result to confirm every month is present before you upload to the CPA portal.

Can I merge W-2 and 1099 PDFs with bank statements in one file?

Yes. Most preparers accept one master PDF when pages are grouped logically. Place W-2 and 1099 forms first, then checking and savings months in order, then brokerage statements. Merge appends whole files in the sequence you choose; it does not mix pages inside a single form. Keep a backup folder of the separate sources in case you need to re-merge.

How do I merge PDF files for tax return upload?

Collect every PDF your software or CPA requested. Open an online merge tool, upload up to the per-tool file count, sort income forms ahead of statements, and download the combined PDF. Check the total size against the upload limit. If the portal rejects the file, compress the merge or split into two topic-based PDFs and upload both.

Is it safe to merge tax PDFs online?

Risk depends on the site’s retention policy and your network. Tax PDFs contain SSNs and account numbers. Use HTTPS on a trusted connection, read the privacy policy, and prefer services that discard files after processing. Toolsy uses uploads only for the merge and does not keep them after download. For a full checklist, read Is it safe to upload documents to online converters? and Merge PDF online security checklist.

What is the file size limit when merging PDFs for taxes?

On Toolsy, each input file can be up to 25 MB and you can merge up to 20 files per job. Free accounts get 5 PDF operations per day across PDF tools. A merged output can be larger than any single input. If the result exceeds your email or portal cap, compress the merged PDF or split by category.

How do I keep page order correct when merging tax documents?

Rename files with numeric prefixes before upload, then confirm order in the merge tool’s drag list. Merge PDF appends files top to bottom; it does not sort alphabetically for you. After download, scroll continuously and note where each month or form starts. Re-merge from source files if a block landed in the wrong place.

Can I merge more than twenty PDFs for a full tax year?

Toolsy accepts up to twenty files per merge run. If you have more, merge in chunks, such as quarters or half-years, then merge the two outputs in a second pass. Each pass counts toward your daily PDF quota. Pro removes the daily cap if you batch many clients or years.

Should I compress bank statements before or after merging?

Compress after merge when the combined file is too large for upload. Compress individual months before merge only when one scanned statement exceeds the 25 MB per-file limit. Text-based bank exports often shrink little until they are combined with scan-heavy 1099s. Always open the compressed PDF and verify small type on tax forms stayed legible.

How is merging PDFs different from scanning receipts to Excel?

Merge PDF stacks visual pages into one file without changing the content. Receipt-to-Excel workflows run OCR and put amounts into spreadsheet cells for bookkeeping. Use merge when your preparer wants PDF proof. Use Excel when you are tracking expenses by category. See Receipt photo to Excel for bookkeeping for the spreadsheet path.

What if my bank only gives me CSV, not PDF?

CSV is useful for analysis but not for a visual packet. Export PDF statements if the bank offers them. If only CSV exists, ask your preparer whether they need PDF at all. You can print statements to PDF from a spreadsheet for a crude visual record, but official bank PDFs are preferable. Merge applies to PDF inputs, not raw CSV files.

If you also shrink image attachments for email, see Compress images before email attachments. For OCR on bookkeeping scans, see OCR for bookkeeping workflow.
